Transforming a comprehensive compliance handbook into focused, on-demand learning

I transformed an existing compliance handbook into a 10-part microlearning series designed to make critical guidance easier for Enrollment Representatives to understand, apply, and revisit when questions arose. Each module focused on a single compliance topic and was released monthly over a 10-month period, creating an ongoing learning experience while building a library of focused, on-demand resources.

Enrollment Representatives had access to a comprehensive compliance handbook, but the amount of information made it difficult to reinforce individual topics through training or quickly revisit specific guidance when questions arose.

The challenge was to make the content more digestible and accessible without sacrificing the accuracy or nuance required of compliance information.

Because compliance topics ranged from straightforward rules to nuanced conversations with prospective students, I used different interaction types based on what learners needed to do with the information. Activities were designed to help representatives identify boundaries, retrieve key guidance, practice time-sensitive requirements, and apply compliance standards in realistic situations.

Turning a Time Requirement Into an Experience

Rather than simply telling representatives that the call-recording disclosure must occur within 30 seconds, I created an animated demonstration in Storyline that makes the timing requirement visible.

When the learner activates the clock, the hands begin moving and the representative delivers the required disclosure within the appropriate timeframe, turning an abstract policy requirement into a concrete example.

Practicing Compliance in Realistic Conversations

Knowing When to Answer—and When to Refer

Compliance decisions are not always a matter of identifying an obviously incorrect response. I developed scenario-based knowledge checks that ask representatives to choose between realistic responses and then receive explanatory feedback.

In this example, the incorrect response contains factually accurate information but violates guidance by comparing Chamberlain's accreditation with another institution—requiring learners to recognize the nuance behind the policy rather than simply recall a rule.

Some compliance situations require representatives to recognize the boundaries of their role, including when they can answer a question directly and when a prospective student should be referred to another department.

Using Storyline, I created interactive question examples that allowed learners to first consider whether a question falls within their scope, then reveal the appropriate action and response.

Breaking Down Policy-Heavy Content

For policy-heavy content, I grouped related requirements into interactive cards that learners could explore individually. I built the cards on Storyline for additional customization and interactivity.

This reduced the amount of information presented at once while giving representatives a simple way to review specific restrictions and appropriate responses.

The project transformed a single comprehensive handbook into a library of ten focused digital learning experiences. The monthly release strategy supported continued reinforcement over time, while the modular structure gave representatives a more direct way to revisit individual compliance topics when needed.
